What does a Wedding Planner do?

This is probably the question I get asked the most and my answer is always, what don’t we do? 🙂 Of course I explain further and tailor my response depending on the service my client is inquiring. Since Plan My Day Weddings and Events specializes in Day of Coordination, I’ll explain for all my potential clients and friends just what it takes to make your wedding appear “flawless” and “run itself” as recent testimonials have mentioned.

Day of Coordination actually begins 4-6 weeks before your wedding. Once a contract is signed with Plan My Day Weddings for this service, I am accessible. This does not mean I will plan your entire wedding, it means there may be times when you are stuck or on the verge of breaking down and you need a quick chat to gain some perspective. I am there, you are still doing the planning but you have a professional with years of wedding planning experience to offer simple solutions to your most difficult questions.

Once we hit the 6 week mark, we contact you to set up a meeting in about 2 weeks. An email follows with a   6-8 page questionnaire for you to complete prior to our meeting. At this meeting we (the bride, groom and myself), go over the questionnaire which more often than not is not completed because “we did not think of this”. We discuss all your outstanding items and I offer my assistance where applicable. We run through your entire wedding day from start to finish, every minute detail is covered.

After this meeting armed with the details of your wedding, I create your wedding day itinerary, what is this you ask? It is a schedule of every event occurring throughout the day, down to the minute. It tells everyone involved in your wedding, from bridal party to vendors where they should be and what they should be doing. This is how the day “runs itself”. Vendors are contacted and all your wedding details are reconfirmed. After the itinerary is finalized, a copy is emailed to all vendors and members of bridal party.

As we approach the 1-2 week mark, we may have a face to face meeting or Skype meeting where we review the entire wedding day again. We arrange to pick up any items I need for the wedding day and last minute issues are resolved.

All this is work is done BEFORE your wedding day 🙂

On the wedding day, the happiest day of your life, the most stressful day of the week for me :-). The day begins with confirming, usually with hair and make-up that everything is on schedule, your bridal party is set and ready to go. We then follow the itinerary, in a perfect world, everything would go smoothly and you live happily ever after…NOT! Situations always arise and we use our years of experience to handle appropriately and discreetly. In most cases you or your guests are none the wiser, as it should be. We coordinate with the venue, all vendors and your bridal party and keep everyone updated if there are any changes throughout the day. We ensure your guests are taken care and are as comfortable as possible.

Depending of the level of service agreed upon, we are there until the ending of your reception, to ensure your transportation arrives to whisk you away to your honeymoon, ensure your guest all have safe rides home and any items that were brought are safely secured.

This is just a sample of what we do. Every client is different and our services are customized to our client’s needs, some need more and others even more 🙂
